{"id":2838,"date":"2016-04-21T13:27:19","date_gmt":"2016-04-21T13:27:19","guid":{"rendered":"https:\/\/mediastoresupport.live-website.com\/?p=2838"},"modified":"2019-04-17T10:26:20","modified_gmt":"2019-04-17T10:26:20","slug":"adding-and-managing-organizations-and-users","status":"publish","type":"post","link":"https:\/\/mediastore.support\/?p=2838","title":{"rendered":"Viewing and managing Organizations and Users"},"content":{"rendered":"<h3>Viewing and managing Organizations and Users: introduction<\/h3>\n<p>In MediaStore&#8217;s <em>Clients<\/em> section, the <em>Organizations<\/em> and <em>Users<\/em> tabs allow you to view and modify all user-related data.<\/p>\n<p><i class=\"fb-icon-element-1 fb-icon-element fontawesome-icon fa fa-hand-point-right circle-no fusion-text-flow\" style=\"--awb-iconcolor:#E3001B;--awb-iconcolor-hover:#E3001B;--awb-font-size:10px;--awb-margin-right:5px;\"><\/i>Please note that the columns you will see in your <em>Organizations<\/em> and <em>Users<\/em> list views may be different to the ones shown here. Regardless, all data can still be accessed by opening any entry to access its detail view.<\/p>\n<h3>Viewing and managing Organizations<\/h3>\n<p>Go to <em>Clients<\/em> &gt; <em>Organizations<\/em> to review all Organizations and perform the following actions:<\/p>\n<ul>\n<li>For a <strong>summary of Organizations<\/strong>, go to <em>Clients<\/em> &gt; <em>Organizations<\/em>; use the column headers to resort the list, and\/or the search and <em>Add Filter<\/em> functions in the top-right corner to narrow down results.<\/li>\n<li>To <strong>view and edit an Organization&#8217;s metadata<\/strong>, click its name. In the detail view, click any field to edit its content and move between the various tabs to access all Organization metadata.<\/li>\n<li>To <strong>review the Users<\/strong> associated with an Organization, click its name to open the detail view, then move to the <em>Users<\/em> tab. The list of Users allows you to manage the Organization&#8217;s Users (just like the main <em>Users<\/em> section).<\/li>\n<li>To <strong>delete<\/strong> an Organization, either use the <em>Delete<\/em> button in the <em>Actions<\/em> column, or tick multiple Organizations before choosing <em>Actions<\/em> &gt; <em>Delete<\/em> in the top navigation. An Organization cannot be deleted as long as it still includes <em><a href=\"\/?p=2889\">Active<\/a><\/em> Users.<\/li>\n<li>To <strong>recover deleted Organizations<\/strong>, choose <em>Add Filter<\/em> &gt; <em>Include Deleted<\/em> to include deleted Organizations in the list view. Then, click <em>Recover<\/em> in the <em>Actions<\/em> column for any recoverable Organization. Deleted Organizations are kept in the system for at least two weeks, but not indefinitely.<\/li>\n<li>To <strong>review the administrative activity<\/strong> associated with an Organization entry, click its name to open the detail view, then move to the <em>Timeline<\/em> tab. You will be able to review various actions previously performed on the Organization entry.<\/li>\n<li>To <strong>export Organizations data to an Excel spreadsheet<\/strong>, choose <em>Export<\/em>. A dialog will open which will allow you to tick the metadata fields to include in the export (by default, fields to which multiple values may apply are not ticked). Clicking <em>Export<\/em> will generate a ZIP file of the export which will be sent to your email address.<\/li>\n<li>To change an Organization&#8217;s <a href=\"\/?p=4015\">Access level<\/a>, edit the <em>Access<\/em> field in its detail view. Please note that the Access level which was automatically set when the entry was created should usually not be changed.<\/li>\n<\/ul>\n<p><i class=\"fb-icon-element-2 fb-icon-element fontawesome-icon fa fa-hand-point-right circle-no fusion-text-flow\" style=\"--awb-iconcolor:#E3001B;--awb-iconcolor-hover:#E3001B;--awb-font-size:10px;--awb-margin-right:5px;\"><\/i>Note that an Organization&#8217;s <em>Status<\/em> depends on the Status of included Users. In the detail view, click any field to edit its content and move between the various tabs to access all User metadata. This includes changing their email address and the Organization they are associated with.<\/li>\n<li>To <strong>review the privileged <a href=\"\/?p=2955\">Group<\/a> Access rights<\/strong> granted to a User, click their name to open the detail view, then navigate to the <em>Access<\/em> tab. You will be presented with all their special Access rights organized by either <em>Group<\/em>, <em>Products<\/em> or <em>Assets<\/em>. If Group-based access was granted to an entire Organization including the User you&#8217;re reviewing, the Organization-level Group access rights will <em>not<\/em> be shown here.<\/li>\n<li>For information on how to <strong>invite and process Pending<\/strong> users (<em>Approve<\/em>, <em>Reject<\/em>, <em>Invite<\/em>), please go <a href=\"\/?p=2880\">here<\/a>.<\/li>\n<li>To <strong>block<\/strong> a User and thereby revoke their access to the platform (while still retaining the User entry), use <em>Actions<\/em> &gt; <em>Block<\/em>. You may also <em>Unblock<\/em> a blocked User.<\/li>\n<li>To <strong>delete<\/strong> a User, either use <em>Actions<\/em> &gt; <em>Delete<\/em> button in the <em>Actions<\/em> column, or tick multiple Organizations before choosing <em>Actions<\/em> &gt; <em>Delete<\/em> in the top navigation.<\/li>\n<li>To <strong>recover deleted Users<\/strong>, choose <em>Add Filter<\/em> &gt; <em>Include Deleted<\/em> to include deleted Users in the list view.
